YY Poker Club Privacy Policy
THIS IS A NON-GAMBLING, LOYALTY-ONLY APP. It offers no real-money gaming, wagering, betting, chips, deposits or payouts. Poker is played only in person at the venue.
This policy explains how YY Poker Club handles personal information when you use its iPhone, Android and web application. It covers the app and its connected club services. Our partners PokerStation and WPT ASIA, the venue, tournament organisers and payment providers have their own policies for their separate services.
1. INFORMATION WE HANDLE
Membership and account access. We use your surname and membership number to check the club's records and set up access. We store your app account identifier, the link to the club record, your chosen policy versions and optional communication choices. Your six-digit PIN is stored as a protected one-way hash, not as readable text. We keep session and recovery records so you can sign in and recover access. Authorised staff may help verify or restore access.
Self-serve PIN reset. When the club has switched this feature on, you can choose a new PIN by entering your last name, player card number and birthday. We compare these details with the club's membership records; the birthday is checked against the birthday held in the club's membership system (KHOLDEM) or in your own member profile. The reset does not store the last name or birthday you type. It records the card number entered, the time and the result so that staff can detect misuse and help you, and its attempt logs keep hashed (not readable) device and network identifiers to prevent abuse. Repeated failed attempts are blocked for a period.
Club and tournament records. The club's membership and tournament system, KHOLDEM, supplies membership and available tournament, seat, result and loyalty information. The app records the source and observation time. A missing or stale source response is not treated as a zero balance. Staff may maintain event information separately. Availability of a record in the app does not mean that every club database field is copied to it.
PokerStation member ID. If you choose to add your PokerStation member ID in the app, we store it with your account so that club staff can link your PokerStation membership and vouchers to your YY Poker Club membership. You can change or remove it in the app at any time. Where the PokerStation sign-in connection is offered and you choose to use it, PokerStation sends us your PokerStation player ID, display name and voucher information, and you can disconnect it at any time.
Purchases and pass use. We store the purchased pass, price, payment references and status, pass validity, redemption history and related support records. Card details are entered with Stripe on its hosted checkout page. We do not store your full payment-card number or security code. Stripe handles information you provide on its payment page under its own privacy terms.
Pass selfies. When you activate a pass for a service day, we collect the photo you take and the information needed to associate it with your account, pass and service date. Staff use the displayed photo to check the person collecting items. The selfie file is deleted 168 hours (7 days) after the pass finally expires. The app does not create facial-recognition templates or search for faces.
Optional INSPIRE card scanning and storage. The camera can read the number on your card to help you enter it. Supported native versions read text on the device; if that is unavailable, the app may send a captured image to our server for a number suggestion. The number-reading endpoint does not retain that image or its recognised text. A captured image may remain in app memory while you finish sign-in. If you choose to save your card, we store the card photo and the number you confirm in your private account. Scanning a card does not by itself prove membership or grant access.
Event photography. Authorised staff can upload event photos to the club server, or import them from a connected source where configured. Published galleries may show identifiable attendees. Gallery users can view, save or share published photos. A removal request records the photo, your optional explanation and your account or guest-session reference. Event photos are personal information when people are identifiable, even if a photographer supplied them.
Photos you submit. If you upload a photo to an event gallery, we resize it and remove its location (GPS), camera details and all other embedded metadata as soon as we receive it. We keep only the time the photo was taken, so that approved photos can be sorted in the gallery. The photo is stored privately and only authorised staff can see it until staff approve it. Photos that staff reject, and photos you withdraw before review, are deleted. Approved photos are published in the gallery as club content. We record which account submitted each photo, when, and the staff decision.
Requests and communications. We keep information you submit for account help, privacy requests, photo removal and supported service requests. Operational instructions and their read or delivery state may be linked to your membership. If phone notifications are enabled and you choose to register your device, we store its push token, platform and installation identifier. General lock-screen alerts direct you into the app to read protected details. Turning off notifications does not close your account.
Service and security information. We use session cookies or app tokens, limited connection information, hashed rate-limit keys and audit records to run the service, prevent abuse and investigate failures. Your device can save language preferences and bounded copies of app content for later viewing. Signing out clears protected account summaries. We do not use advertising identifiers or cross-app advertising tracking, and the app does not request your contacts, microphone or device location.
2. WHY WE USE INFORMATION
We use information to verify membership; secure and recover accounts; take and reconcile payments; activate and honour passes; prevent account or pass sharing; show club records; link your PokerStation membership and vouchers when you ask us to; review and publish event photos, including photos members submit; deliver service instructions; handle requests; and maintain financial, security and dispute records. Optional promotional communication choices are separate from acceptance of account terms. We do not sell your personal information.
3. OUR PARTNERS: POKERSTATION AND WPT ASIA
PokerStation and WPT ASIA are partners of WPT Seoul and of YY Poker Club. We may share information with them only as follows.
PokerStation. At your request, the club links your PokerStation member ID to your club membership. When you redeem a PokerStation voucher at the club, for example at tournament registration, staff record the voucher item and quantity and the date and time. The club may share your PokerStation member ID and your club membership number with PokerStation, together with these voucher redemption records, only to honour and settle PokerStation vouchers. If you connect your PokerStation account by signing in to PokerStation, we send PokerStation only the sign-in approval codes needed to complete or end that connection.
WPT ASIA. The app does not send your account information to WPT ASIA. Tournament information that staff publish (display names, seats, chip counts, standings and results) is public and may be used by WPT ASIA for official event reporting, rankings and records.
We never share your PIN, recovery material, pass selfies, payment-card details, saved card photo, birthday or unpublished photos with either partner.
4. SERVICE PROVIDERS AND PUBLIC INFORMATION
Authorised club staff see information required for their duties, subject to account permissions. Your PIN, recovery secrets, private card image and pass selfie are not public gallery content.
Amazon Web Services hosts the application backend, database and server photo storage. The existing club hosting is in Seoul. KHOLDEM supplies club records through the club's integration. Stripe processes payments. Where configured, Google Drive can be a staff photo-import source, and Apple Push Notification service or Google Firebase Cloud Messaging delivers device alerts. If you use a separately hosted web preview or open an external service such as a livestream, that service also receives the connection information needed to serve its page. Providers may process information in countries outside Korea depending on the service used.
Equal protection. We share personal information only with the partners and service providers named in this policy, and only the information each one needs for the purpose described. Each of them, including Stripe, Amazon Web Services, KHOLDEM and PokerStation, must protect that information with the same or equal protection as this policy provides and use it only for that purpose.
Published tournament information can include participant display names, seats, standings and results. Published event photos, including approved member photos, may be viewed, downloaded or shared by other users. Private account links and internal staff notes are not part of those public records. We may disclose necessary information when required by law or to address fraud, security incidents or legal claims.
5. RETENTION
We keep personal information for the service purpose described here and for applicable financial, security and legal record-keeping obligations. Different records have different lifecycles:
- Pass selfie files are deleted 168 hours (7 days) after the pass finally expires. Associated dates and audit metadata can remain with transaction records.
- A saved INSPIRE card photo is removed when replaced or when account erasure processes it.
- Account credentials and active sessions are removed or revoked when your account is deleted. Ordinary sign-in sessions also expire.
- Photos you submit: photos waiting for review are deleted if staff reject them, if you withdraw them or if you delete your account. Approved photos stay in the gallery as club content, also after you delete your account, unless you ask us to remove them.
- A saved PokerStation member ID stays saved until you remove it in the app. If you plan to delete your account, remove it first or ask staff to remove it. Voucher-use records are kept with the club's financial records.
- Orders, payment and redemption records, necessary source records, audit history and an access-closure marker can remain after account deletion. These records are retained separately from active sign-in access.
- Published event photos remain until staff remove them; a request can be made from the photo. Removing an app copy cannot retrieve copies that other people already downloaded or shared.
- Backup and external-provider copies have separate retention and deletion processes. Account deletion does not instantly erase those copies or records held in the club's independent source systems.
We do not describe a retained record as deleted. If an automated file cleanup or external review remains outstanding, staff must complete it.
6. YOUR CHOICES AND REQUESTS
You can use the app's account privacy controls to export your account information and request deletion, confirming with your PIN. The export excludes security secrets, other members' records and private staff notes.
Account deletion signs you out and revokes access immediately. The server attempts account erasure automatically. If erasure cannot finish, the account stays blocked while staff complete the remaining work. The result distinguishes deleted account information from retained transaction and audit records. Deleting app access does not cancel purchases, create a refund or erase the club's independent membership records.
You can ask club staff to correct membership or source information, help with access, explain retained records or handle other privacy requests. To request removal of an event photo, including a photo you submitted, open that photo and use its removal-request option, or email info@inspire-vip.jp. You can do this before or after deleting your account. You can withdraw a photo you submitted while it is still waiting for review. You can control camera and notification permissions in your device settings. Denying a permission prevents the related feature, such as taking a pass selfie, but does not prevent browsing public information.
7. SECURITY
We use HTTPS, protected PIN hashes and recovery material, account-scoped access, staff permissions and audit records. Images published through the event-photo service, including member uploads, have embedded metadata removed. We use these safeguards to reduce risk; no online service can guarantee that every security incident will be prevented. Keep your PIN and recovery material private and tell club staff if you suspect unauthorised use.
8. AGE AND VENUE ELIGIBILITY
The app is intended for adults aged 18 or older. Alcohol is served only to guests aged 19 or older under Korean law, or any higher age the venue sets, and staff may check identification at the point of service. The app does not replace venue entry checks, membership rules or alcohol-service age checks. Do not supply another person's identity or use a pass for someone else. Ask club staff if you need help with eligibility or an account created in error.
9. CHANGES AND CONTACT
The current policy is available from the app and its privacy-policy page. Updates are published on the server with a new version label; the version accepted during account setup remains recorded. New setup requests must use the current published versions. A wording update does not itself reset existing accounts or rewrite their earlier consent. If a new use of information requires additional permission, we will obtain it before that use.
